How to Make a Reservation

Instructions on how to reserve the rental facilities at Hoyt Arboretum.

 

Reservations can only be made through Portland Parks Reservations Center:

Hours: 8:30 am – 4 pm, Monday through Friday

 ~ Wedding permits are issued for the current calendar year only. Reservation are taken beginning the first business day of the new year and are processed on a first-come, first-served basis. Walk-in customers are given priority.

~ Picnic reservations must be made by mail or FAX (503) 823-2515 beginning the third Monday of February. Walk-in and phone-in reservations (using a valid Visa or MasterCard) will be accepted the first Monday in March. This includes both standard picnic as well as Special Use reservations. Please note that Special Use Applications must be made a minimum of (10) working days in advance of use to avoid paying a late fee. The Special Use Application/Processing Fee for events booked less than 10 working days in advance is $121.25.

 ~ A non-refundable application fee is required to reserve a facility (see rental fees

 ~ All rental fees and deposits must be paid in full in order to receive a permit.

 ~ All unpaid fees will be required no less than 30 days prior to your event.

 ~ If you are making a request within the 30-day period you will be required to pay all fees when the reservation is made.

 ~ Upon payment of all fees and deposits and the receipt of proof of insurance for the serving of alcohol (if applicable) you will receive a packet with:

 1. Your permit.  This is proof you have reserved the facility and should be on-site and available for review during your event.

 2. A reservation sign.  Post this sign at your site as early as possible so that other park users are aware the site is reserved. 

Cancellation Policy

You may cancel your permit at any time. Refunds are only issued when the permit and additional signs and passes are received in the Reservation Center or Arboretum office before the scheduled event.  When these items are received a refund may be issued under the following guidelines:

 ~  If your permit and additional signs and passes have been received in the Reservation Center or Arboretum office 72 hours or more before the scheduled event you may receive a full refund of all but the Application Fee. 
 ~  If your permit and additional signs and passes have been received in the  Reservation Center or Arboretum office 72 hours or less before the scheduled event, you may receive a 50% refund of all but the Application Fee.

Payments can be made by cash, check, credit card or money order.  We accept Visa & Mastercard.
